Privacy Policy
The Fan Record is run by The Fan Record LLC ("we" or "us"). For questions or requests about your data, email feedback@thefanrecord.com.
Your grades and notes stay private and belong to you.
The Fan Record is not affiliated with, endorsed by, or sponsored by any artist, record label, management company, YouTube, X, Instagram, Meta, Google, or other rights holders unless a partnership is explicitly stated.
Embedded posts and videos
Some pages show posts and videos from X, Instagram (Meta) and YouTube (Google) using those platforms' own embed tools. In the United States these embeds load automatically when they scroll into view. Everywhere else, and whenever we can't tell where you are, they load only after you tap them. If your browser sends a Global Privacy Control signal, they also wait for your tap.
When an embed loads, your browser connects directly to that platform. The platform receives your IP address, browser information and the page you're viewing, and may place or read cookies or similar technologies (such as local storage) on your device. It uses that information under its own privacy policy, which can include personalization and advertising. The Fan Record doesn't receive or control that data, doesn't add advertising pixels, and doesn't send the platforms your account details.
The Fan Record uses YouTube API Services. By using The Fan Record, you agree to be bound by the YouTube Terms of Service (https://www.youtube.com/t/terms). Google's Privacy Policy: http://www.google.com/policies/privacy. X's Privacy Policy: https://x.com/en/privacy. How to opt out of X's interest-based ads and personalization: https://help.x.com/en/x-for-websites-ads-info-and-privacy. Meta's Privacy Policy: https://www.facebook.com/privacy/policy/. You can also block or delete cookies and site data in your browser settings.
Public catalog
If a video you save is an official upload, we may also add it to the public catalog. We never show who saved it.
Server-side catalog lookups to YouTube, MusicBrainz, and Wikidata send no account data.
Song matching
We use an OpenAI model, through Vercel’s AI Gateway, to suggest which song a video is and, for live clips, when and where it was performed. When you paste a video, or a connected agent saves one, and we don’t recognize it yet, we may send the video’s title, channel name and length. When we add official uploads from artists’ YouTube channels to the public catalog, we may also send the video’s description.
We never send your name, your account details, your grades or your notes. We only use providers that have agreed not to keep what we send and not to train their models on it. If no such provider is available, we skip the suggestion. That suggestion is The Fan Record’s.
Your Record
When you delete a video you or an agent added, we keep it privately for 30 days, including your grade, note, “I was there” mark, and Moments, then delete it. If you restore it or add it back during that time, it all comes back. When you remove a video in the public catalog from your Record, your grade, note, “I was there” mark, and Moments stay saved. If an agent saved it and can see what happened to its saves, it may still learn that you removed or deleted it.
If you export your data during those 30 days, the export includes the videos you deleted, with their grades, notes, “I was there” marks, and Moments.
Deleting your account
If you delete your account, we delete your Record and account details within 30 days. To delete sooner, contact us using the details in the Privacy Policy section of this page, from the email address on your account. Backups and server logs expire on their own schedule.
We keep copyright complaints you filed, including the contact details you gave in them. Moderation records stay and name your account only by ID. We keep an ID with no personal details so a deleted account can't return.
Connected agents
When you connect an agent, it can save videos to your Record. See the Record section below for how removal and deletion work.
Posts from connected agents
When a connected agent saves an X or Instagram post that isn’t an official or matched performance, The Fan Record stores it as a private moment on your Record only. We show it with that platform’s embed tools; we don’t store captions or page HTML. Facebook posts stay link-only (we resolve the redirect target and don’t load Facebook’s page or scripts). Private moments never appear in the public catalog, search, or other fans’ views.
We don't keep the text or title of X, Instagram, or Facebook posts.
Details agents send
If an agent adds a video or Moment, we also keep the details it sent with it, such as the artist, song, date, and the links it used as sources. We don’t show them to anyone else, and they’re included in your export. If you delete the video or Moment, we keep these details for the 30-day undo window, then delete them, and they come back if you restore it. Removing a catalog video from your Record keeps them. Short quotes are the exception, whether the agent copied them or you gave them to it: we delete them 30 days after the agent adds them, even while the video or Moment is on your Record, and they don’t come back on restore. We don't keep the text or title of X, Instagram, or Facebook posts. If you delete your account, we delete these details with your Record within 30 days.
Videos and posts you skip
When you skip a video or post your connected agent tried to add, we keep a minimal record so your agents don’t add that same video or post again. It stores only the platform, the item’s id, why it was refused, the date, and which save it came from. It doesn’t include titles, notes, or grades. It stays even if you turn off Keep history. You can still add the video or post yourself.
Save outcomes
An agent you connect can receive only what you allow at consent. With the save-outcomes permission, it can see whether each video or post it saved was kept, skipped, undone, or removed. For videos, it can also see whether you watched them and the day you first watched them. If you remove something it added, it learns only that you removed it, not why. No other agent sees this. Grades are shared unless you turn that off, at consent or in Settings. It never receives your notes, other fans’ data, or anything you didn’t let it save. Access ends when you turn the permission off or disconnect the agent. We keep an audit of those reads.
Embed error reports
If an embedded post fails to load, your browser may send us a short error report. To prevent abuse of these reports, we store a keyed hash of your IP address, never the address itself, and a daily cleanup deletes hashes older than 48 hours. The rest of the report contains only the platform and the post's ID. We keep that for up to 12 months to check that embedded posts are still available.
Server logs
Like most websites, our hosting provider automatically records basic request information, such as your IP address, browser type, the page requested and the time. We use these logs only to run the site, fix problems and prevent abuse. They are deleted on the provider's standard retention schedule.
